SUMMARY:

The Manager of Exhibit Maintenance and Installation oversees a team responsible for the maintenance of the Museum’s exhibits and the installation and removal of traveling exhibitions. Responsibilities will include the appropriate scheduling of staff to ensure ongoing and preventive maintenance to exhibits is performed on a timely basis, while ensuring all safety guidelines and regulations are followed by staff. In addition, this individual will manage the load in, installation, breakdown, and removal of touring exhibitions. Also oversees contractors and volunteers as required. Incumbent works independently with minimal supervision.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Must adhere to the museum’s policies, best practices, and procedures.
  • Ensure appropriate scheduling of staff. Produce a detailed schedule that highlights the staffing assignments for upcoming exhibit projects and tasks.
  • Provide coaching, mentorship, and guidance to the exhibit maintenance department staff.
  • Provide direct input to the Sr Director of Facilities Management and the VP of Exhibition Design and Development to develop the annual exhibit department budget.
  • Lead in the selection and hiring of exhibit technicians.
  • Responsible for making sure that all exhibits team members and vendors are meeting all Museum, State and Federal safety requirements.
  • Develop and manage the budget for labor and materials needed to install new exhibits and breakdown and removal of exhibits no longer in service.
  • Work with operations team and update exhibits calendar with facility-wide events and operational experiences to staff accordingly.
  • Perform a variety of administrative functions, including reviewing staff and vendor timecards to ensure accuracy and staff adherence to scheduling and overtime guidelines.
  • Reviews vendor invoices for accuracy and recommends approval when appropriate.
  • Negotiate with vendors to ensure that the best possible rates are provided.
  • Ensure all pertinent staff documents and training materials are updated as necessary.
  • Coordinate training and schedules for exhibit staff and volunteers.
  • Perform regular quality control evaluations on exhibit maintenance operations to ensure and verify that the exhibits are operating in excellent condition.
  • Make recommendations regarding exhibition improvements to enhance the Museum experience and/or efficiency.
  • Give direct and significant creative input to the exhibit development and design team for future projects and remediations.
  • Oversee the proper start-up and/or shut down of all exhibits and halls daily.
  • Perform rounds and accurately document which exhibits are operational, partially operational, off the floor and inoperative in the galleries.
  • Take a proactive role with the maintenance team to identify problems and repair (in a timely manner) all mechanical and electrical exhibit components. Coordinate the repair of components that cannot be repaired in-house or with current resources.
  • Manage a log of available temporary exhibitions available for showing at the Museum. Work with touring exhibition producers to identify high quality exhibitions with content areas suitable for a science museum.
  • Work with touring exhibition producers to plan the layout of touring exhibits and the installation and deinstallation procedures and schedules.
  • Manage and direct the in loading, set up, takedown and unloading of temporary and permanent exhibits.
  • Coordinate and delegate tasks with the traveling exhibits crew to ensure safe and timely load-in and load-out.
  • Institute a predictive and preventative maintenance program for all permanent exhibits utilizing the museum’s selected computerized maintenance management software.
  • Responsible for managing the storage of items at the off-site warehouse. Acts as the main point of contact for the warehouse facility. Coordinates any needed building or equipment maintenance with the Museum Facilities department.
  • Lead by example - maintain a clean, safe work environment by demonstrating a thorough knowledge of tools and equipment; follow proper safety procedures associated with each tool equipment/material.
  • Schedule and lead the team responsible for preparing galleries to load in for events and ensure that the galleries are restored to normal following each event.
  • This position acts as an integral member of the emergency response team and will be required to assist with storm preparation activities and recovery from emergency situations.
  • Perform other duties as assigned.

DESIRED EDUCATION AND EXPERIENCE

College degree or equivalent required and a minimum of three (3) years of similar experience at a cultural institution or public-facing attraction required or an equivalent combination of education and experience.

KNOWLEDGE, SKILLS AND ABILITIES

  • Proficiency in Microsoft Office.
  • Proficiency in the use of various scheduling and project management software solutions.
  • Proficiency in the use of computerized maintenance management systems.
  • Demonstrated success with quality control.
  • Successful completion of the OSHA 30-hour safety training program or ability to do so within 90 days.
  • Ability to prioritize tasks and strong organizational skills.
  • Able to problem solve with flexibility and demonstrate good judgment in a variety of situations.
  • Ability to work without direct supervision.
  • Excellent time management skills and attention to detail.
  • Must possess excellent hand/eye coordination, as well as close vision.
  • Must be able to read, understand, interpret, and comment on plans, workflow diagrams/schedule, and construction drawings.
  • Ability to work flexible schedules, including nights, weekends, and holidays as required and as work dictates.
  • Oral and written fluency in English is required for the position; bilingual fluency in Spanish is preferred.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions as the Manager of Exhibit Maintenance.   • Heavy physical activity performing strenuous daily activities of a technical nature. Work is normally performed in both interior and exterior environments.
  • Work often performed while on a ladder and at elevated heights.

  • Work requires the ability to kneel, climb stair, and climb ladders and work in tight spaces.
  • Work requires visual acuity and hand dexterity to manipulate tools, safety equipment, and machinery.
